Before You participate in the Festival and regardless of the Official Sales Channel where You made Your purchase, You will be required to read, accept and comply with these Conditions in full, in the absence of which the Festival Organizer reserves the right to deny Your access to the Festival.
2.2 Should You not only purchase Festival Products and/or Services for yourself but also for others, we remind you that You are and remain solely responsible for providing such people with the present Conditions and any other terms and conditions which may apply to Your purchase (including those mentioned under Article 2.3 below) and obtaining their consent with such terms prior to Your purchase. For the avoidance of doubt, insofar and to the extent that a direct relationship between the Festival Organizer and any of the said persons would be established in the course of the execution of the Agreement (e.g. in the context of the creation of a Tomorrowland Account or the purchase of Pearls and Add-Ons), these other Festival Visitors will be asked to read and accept the relevant terms and conditions and privacy policies of the Festival Organizer.
2.3 When You purchase Festival Products and/or Services via Sunweb or a Travel Partner, these parties (and not the Festival Organizer) qualify as your contracting party. 3. FESTIVAL PRODUCTS AND/OR SERVICES: GENERAL PROVISIONS
3.1 No right of withdrawal
3.1.1 The right of withdrawal is expressly excluded on the basis of article VI.53, 12° of the Belgian Code on Economic Law (“Wetboek Economisch Recht – Code de Droit Economique”). This means that You do not have a cooling-off period of fourteen (14) days to cancel / return the Festival Products and/or Services You have purchased online.
3.2 Age requirement
3.2.1 The minimum age for access to the Festival is eighteen (18) years. There will be no exception to this rule, not even if the person concerned is accompanied by a parent, guardian and/or other adult. The Festival Organizer will deny admission to the Festival if, e.g. as a result of the identity control mentioned hereunder, the Festival Visitor hasn’t reached such age at the latest upon the start of the Festival.
3.3 Official Sales Channels
3.3.1 Festival Products and/or Services can only be purchased via the Official Sales Channels.
3.3.2 Festival Products and/or Services that are obtained in a different manner (either through a different sales channel, or by evading, in any way, the procedure prescribed in the pre-registration link that provides access to the online ticket shop, as applicable) will not be considered valid by the Festival Organizer and the Festival Organizer reserves the right to deny the holder of such admission ticket access to the Festival and/or the use of Festival Products and/or Services.
3.4 Tomorrowland account and Pre-Registration
General
3.4.1 Unless otherwise indicated by the Festival Organizer, Festival Products and/or Services can only be sold to those who have a Tomorrowland Account, which can be created on https://my.tomorrowland.com. The Festival Organizer in any event recommends creating a Tomorrowland Account.
3.4.2 When creating a Tomorrowland Account, you will be asked to read and accept the Festival Organizer’s terms and conditions and Privacy Policy for the Tomorrowland Account. In the Tomorrowland Account the country of residence, nationality and age will be registered.
3.4.3 The Festival Organizer reserves the right to cancel and offer for sale again admission tickets for the Festival that do not comply with the provisions of this article 3. In such case, the purchase price for the ticket(s) in question will be refunded to the Main Buyer (and only to the Main Buyer) after deduction of the Ticket Refund Fee and any refund of the Treasure Case Fee, as applicable, and always subject to the cancellation provisions set out in this Agreement.
3.4.4 The Festival Organizer reserves the right to cancel Your purchase for technical reasons (e.g. if existing quotas are exceeded).
Pre-Registration
3.4.5 The Festival Organizer reserves the right to organize pre-registrations for the Festival.
3.4.6 To the extent applicable, only a Tomorrowland Account can give access to Festival Pre-Registration. The Festival Organizer will inform the account holders about the start of pre-registrations via the Tomorrowland Account and the contact details provided during the account registration. Automated pre-registrations are not permitted.
3.4.7 To the extent applicable and as soon as the official sale of Festival Products and/or Services starts, the account holder will be able to access the online ticket shop of See Tickets and Sunweb via an automated link in the Tomorrowland Account. The Festival Organizer will operate a fair queuing system so that – to the extent possible – each person who gains access to the online ticket shop has the opportunity to purchase tickets. Only one place in the queue will be allocated per Tomorrowland Account. Purchased tickets and bracelets are not exchangeable for another type of ticket/package.
3.5 Festival admission ticket
3.5.1 Your purchase of Festival Products and/or Services, regardless of the Official Sales Channels, always includes the purchase of a Festival admission ticket.
Your purchase with the Festival Organizer can only be processed when You pay the price for the Festival admission tickets (and other Festival Products and/or Services) included in Your order. After Your online purchase and payment are complete, You will receive a confirmation e-mail.
3.5.2 If You have purchased a festival admission ticket, entrance to the Festival is provided via the Tomorrowland Winter Bracelet. The festival admission ticket is valid only for the day(s), time and place for which they are purchased and are not subject to exchange or return.
ATTENTION: The purchase confirmation e-mail nor the voucher issued grant access to the Festival. Access to the Festival requires a Tomorrowland Winter Bracelet, in the absence of which the Festival Organizer has the right to deny access.
Personalization
3.5.2 Each Festival admission ticket must be personalized by entering the Festival Visitor’s name, e-mail address and nationality. The Festival Visitor can be You and/or other people you purchase tickets for.
3.5.3 Unless otherwise stated by the Festival Organizer, this personalization of the Festival admittance ticket must take place during the time period stated in the ticket confirmation e-mail sent to You. After this period, the personalization is final and the provided personal data can no longer be changed.
Should you buy a Festival admittance ticket not only for yourself but also for others (your “Guests”) You are and remain solely responsible for obtaining - as far as required by law – these people’s permission to provide their personal data to the Festival Organizer as part of the personalization of such ticket as mentioned herein. The provisions of article 2.2. equally apply.
The Festival Organizer reserves the right to cancel Festival admittance tickets that do not comply with the provisions of this Article and offer them for sale again. In that event, the purchase price for the relevant ticket(s) will be refunded to You (and only you) after deduction of a cancellation fee of EUR 10 per cancelled ticket.
3.6 Tomorrowland Winter Bracelet
General
3.6.1 For each purchased and personalized Festival admittance ticket, the Festival Organizer will provide You with a Tomorrowland Winter Bracelet which must be registered before access to the Festival can be granted to the Festival Visitor. 3.6.2 The Festival Organizer will provide You with Your Tomorrowland Winter Bracelets at the location of the festival.
3.6.3 You will, upon availability, be able to buy a Treasure Case as an Add-On. In that case the Treasure Case will be sent (by default) to the delivery address mentioned in Your Tomorrowland Account unless You indicate otherwise during the purchase process. You can only enter one (1) delivery address for Your purchase. It is not possible to change the delivery addresses for Your Tomorrowland Winter Treasure Case after You have completed Your purchase.
3.6.4 The Festival Organizer will not provide a Treasure Case in case the Tomorrowland Winter Bracelet would be picked up at the Festival
Festival access and identity check
3.6.5 Only a legitimate and registered Tomorrowland Winter Bracelet can grant the Festival Visitor access to the Festival premises. One must always be in possession of a valid Tomorrowland Winter Bracelet registered in his/her name to be granted access to the Festival. You enter the Festival premises at your own risk.
3.6.6 All Tomorrowland Winter Bracelets will be scanned and validated upon entering the Festival premises.
3.6.7 The Festival Organizer reserves the right to verify (or to have verified by appointed representatives) the identity of everyone entering the Festival premises. If one cannot identify him/herself or the name on the Tomorrowland Winter Bracelet does not match the identity of the Festival Visitor provided in the proof of identity, the Festival Visitor will be refused admission to the Festival. A valid proof of identity can be a valid non-expired identity card, passport or driving license. The name on the proof of identity must be the same as the name in which the Tomorrowland Winter Bracelet is registered. Copies of identity papers are not accepted.
3.6.8 A denied admission in accordance with these Conditions does not entitle anyone to a refund.
Other services
3.6.9 The Tomorrowland Winter Bracelet not only serves as an admission ticket to the Festival. Purchased lift & ski pass and Pearls are also uploaded on this bracelet. The Festival Visitor is required to scan his/her Tomorrowland Winter Bracelet to enter the Festival premises and access/use the lift & ski pass and purchased Pearls.
Loss or theft of Your Tomorrowland Winter Bracelet
3.6.10 You are solely responsible for the loss or theft of Your Tomorrowland Winter Bracelet after it has been delivered to You by the Festival Organizer (in conformity with Article 3.6.2 of these Conditions).
3.6.11 If, for any reason whatsoever that is beyond the Festival Organizer’s reasonable control the Treasure Case with the Tomorrowland Winter Bracelet cannot be delivered to the indicated address (including errors in the personal data You provide during the registration and purchase procedure, or because the postage parcel with the Treasure Case holding your Tomorrowland Winter Bracelet cannot be delivered by the postal services in the country of destination), You must contact the Festival Organizer so that the Festival Organizer can arrange for Your collection of the Tomorrowland Winter Bracelet at the Bracelet Pick-Up Desk at the Festival. Only You as the Customer and purchaser of the Tomorrowland Winter Bracelet can pick up these bracelets, not Your Guest/the Festival Visitor. A Tomorrowland Winter Bracelet must always be activated before it can grant the Festival Visitor access to the Festival and provide the services as mentioned herein.
3.6.12 In case of loss or theft under Article 3.6.10 the Festival Organizer will never be required to provide You with a new Treasure Case and/or Tomorrowland Winter Bracelet. No refund can be claimed either.

Controlled medication
The category ‘controlled medication’ refers to medication containing a substance referred to in the Royal Decree of 06/09/2017 regulating narcotic and psychotropic substances. The products referred to in this Royal Decree can be found in the annexes to this Decree. Due to the generic structure classification, it is not possible to reproduce a limitative list of such substances. The Belgian Federal Agency for Medicines and Health Products does provide an indicative, non-limitative list of those substances, that is updated regularly, through this link.
Everyone who brings or uses controlled medication to or at the Festival must identify himself at the entrance to the Festival as such, presenting the original medical prescription, containing the patient’s name, the medication concerned and the prescribed dosage and signed by the doctor in charge, and the respective medications, in correspondence with the prescription and in amount compatible with the period of stay at the Festival. The document must expressly state the dosage indicated for the patient, therefore, only the medications and amounts indicated in the prescription will be allowed.
Patients who need to use syringes and/or need medication to be stored in refrigerators must also inform the Festival Organizer about this when entering the Festival, presenting the original medical prescription and the necessary materials. The service professionals will indicate how to proceed to keep all medication and necessary materials safely stored and in conditions of use.
All controlled medication may be subject to evaluation by the Festival’s medical team.
These provisions are without prejudice to any rules, legislation and/or governmental instructions regarding the use, possession and/or carrying of medication that may apply in Belgium or any other (transit) countries the Festival Visitor enters. For example, for the purposes of your travel and entrance to Belgium (or transit countries) additional or different rules, legislation and/or governmental instructions may apply. Each Festival Visitor is individual and solely responsible for the verification of and compliance with such rules, legislation, and instructions.
OTC medication
The category ‘over the counter’ (OTC) medication refers to medication that does not contain any substances referred to in the Royal Decree of 06/09/2017 regulating narcotic and psychotropic substances and can be purchased directly from the shelves without a medical prescription, such as aspirin, anti-flu, certain analgesics, etc.
Festival Visitors carrying over-the-counter medication must also declare this medication at the entrance to the Festival, being allowed to enter with an amount compatible with normal daily use for one person, in accordance with the medication leaflet. In the case of liquid OTC medication, such medication must be presented in original packaging at the Festival.
All OTC medication may be subject to evaluation by the Festival’s medical team.

Such conditions shall be duly evidenced by a medical report or prescription in Dutch, French or English, valid in Belgium, which may be requested at any time, including during the body and bags search before your access to the Festival.

ANNEX 3: CASHLESS PAYMENTS
The Tomorrowland Winter is a cashless festival. When purchasing Pearls for the Festival with the Festival Organizer, you must expressly agree to the present Specific Terms and Conditions – Cashless Payments of the Festival Organizer (“Specific Terms and Conditions”). If you do not agree to such terms, you will not be able to purchase Pearls for the Festival.
Terms not described in these Specific Terms and Conditions shall have the meaning ascribed to them in the Conditions (available here – www.tomorrowland.com) which also apply to your purchase. In case of conflict, the present Specific Terms and Conditions always prevail.
The present Specific Terms and Conditions for cashless payments will also be made available at the cashless Top-Ups at the Festival. Anyone purchasing his/her first Pearls through such Top Up points at the Festival will be deemed to have accepted these terms and conditions for cashless payments.
Please read these Specific Terms and Conditions carefully before completing your purchase.
1. CASHLESS - GENERAL
1.1 “Cashless payments” are the payment method used at the Festival. The Festival Organizer reserves the right to allow other payment methods, such as cash payments and/or payments via other electronic devices.
1.2 “Pearl” is the official currency at the Festival. Festival Visitors can purchase “Pearls” via the Tomorrowland Winter Cashless system by an online top-up transaction through the Tomorrowland Account or a top-up at the Festival. Pearls will then be activated on the Tomorrowland Winter Bracelet. The value of one (1) Pearl will be communicated to the Festival Visitor (on www.tomorrowland.com and the Tomorrowland Account) as soon as Pearls can be purchased.
1.3 The Festival Organizer cannot be held liable if the cashless system does not work, does not work without defects or only works in part during Tomorrowland Winter. In that event, the Festival Organizer will provide a back-up scenario for Festival Visitors, e.g. via the provision of payment tokens.
1.4 The Festival Organizer will not provide any detailed invoices regarding individual spendings made at the Festival through cashless payments.
2. CASHLESS - TRANSACTION DISPUTES
2.1 Top-up transactions
2.1.1 All issues related to online top-up transactions must be reported immediately to cashless@tomorrowlandwinter.com. Complaints related to online transactions will be accepted up to three months after the end of the Festival. Festival Visitors are asked to include the necessary supporting documentation when they communicate with the Festival Organizer about such issues.
2.1.2 Festival Visitors must report issues regarding top-up transactions made at the Festival to both a Cashless Customer Service point at the Festival and e-mail these to cashless@tomorrowlandwinter.com. The Festival Organizer reserves the right to reject complaints if neither proof nor documentation regarding the dispute have been submitted. Festival Visitors can track top-up transactions in their Tomorrowland Account. Considering there might be a delay in the processing of the Top Up Transactions made during the Festival (offline), the update of the information in your Cashless Account can also be delayed.
2.2 Other transactions
All other transaction issues must be reported to the Cashless Customer Service point at Tomorrowland Winter as soon as possible.
2.3 Support in the case of loss or theft of the value support
2.3.1 The Festival Organizer cannot be held liable for theft of loss of the cashless support (Tomorrowland Winter Bracelet or Cashless Card) onto which the “Pearls” are topped-up after such support has been delivered to the Festival Visitor.
2.3.2 In the event of loss or theft, Festival Visitors can deactivate their cashless support via their Tomorrowland Account or by visiting a Cashless Customer Service point at the Festival.
2.4 Refunds
2.4.1 With the exception of the Bonus Pearls (i.e. Pearls loaded by the Festival Organizer for free because of the purchase of a certain volume of Pearls) and Pearls pre-loaded by the Festival Organizer, cashless Pearls can only be refunded after the Festival. As a result, the Festival Organizer will not refund any Pearls during the Festival (even if a Festival Visitor is denied admission to the Festival).
2.4.2 All refunds are subject to a refund fee, which will be made available to the Festival Visitor (on www.tomorrowland.com and the Tomorrowland Account) as soon as Pearls can be purchased. Bonus Pearls and Pearls preloaded by the Festival Organizer cannot be used for payment of the refund fee.
Automatic refunds
2.4.3 All online top-ups or transactions through the website are subject to automatic refunds if implemented by international brands. The international brands are: Bancontact, iDeal, VISA and Mastercard. The Festival Organizer reserves the right to add or remove payment methods if necessary. This clause does not apply in case the online top-up is lower than the onsite top-ups. In that case the manual refund procedure applies.
2.4.4 The Festival Organizer will strive to initiate automatic refunds within a period of 15 days following the end of the Festival. That timeframe is subject to possible delays that are beyond the Festival Organizer’s control. The refunds will be paid using the same method as the one used for the online top-up. The time at which the payment is visible on the proof of the electronic payment method depends on the currency, the country and the required processing time where the payment processor is based.
2.4.5 Refunds that qualify for an automatic refund are executed automatically. The Festival Organizer is not able to manually block certain payments, nor is the Festival Organizer authorized to change the payment method of the refund.
Manual refunds
2.4.6 Manual refunds may be applied to all amounts that are topped-up on the cashless support system during and at the Festival.
2.4.7 Manual refunds may be requested until April 10, 2025, 23:59 CET. No requests for a refund submitted after this date will be taken into account. Festival Visitors are advised to make maximum use of online top-ups.
2.4.8 A manual refund is done to SEPA bank accounts or via PayPal, depending on the content of the “manual refund form” completed by the Festival Visitor. However, the Festival Organizer reserves the right – if technically possible – to refund the Festival Visitor requesting a manual refund on the bank account linked to the payment method used at the cashless support system during and at the festival. In such case a confirmation email shall be sent to the Festival Visitor confirming such refund to the account linked to the original payment method.
2.4.9 Because manual refunds are processed individually, there is a minimum processing period between the notification from the cashless system and the effective payment. This processing period will take approximately three banking days. The Festival Organizer cannot be held liable within this minimum processing period. The processing period depends on the selected refund method.
2.4.10 Festival Visitors are responsible for providing the correct refund information to the Festival Organizer. If Festival Visitors do not provide the Festival Organizer with the correct information, the Festival Organizer reserves the right to not carry out the refund.

All Add-On purchases are final. It is not possible to cancel an Add-On. The right of withdrawal for online purchases is expressly excluded on the basis of Article VI.53, 12° of the Belgian Code on Economic Law.

16.1 The organizer offers suitable assistance without delay to the traveler in difficulty, in particular by:
1) provide useful information about medical services, local authorities and consular assistance;
2) to assist the traveler in the use of remote communication and in finding other travel arrangements.
16.2 If the difficulties are the result of intent or negligence on the part of the traveler, the organizer may request compensation for this assistance. Under no circumstances does this reimbursement exceed the actual costs borne by the organizer.
ARTICLE 17: COMPLAINTS
17.1 If the traveler has a complaint before departure, he must report it to the organizer or retailer as quickly as possible in a substantive manner.
17.2 Complaints during the execution of the package travel agreement must be reported by the traveler to the organizer or retailer as quickly as possible on site, in an appropriate and evidential manner, so that a solution can be found.
17.3 If a complaint was not satisfactorily resolved on the spot or it was impossible for the traveler to formulate a complaint on the spot, he must submit a complaint to the organizer or retailer without delay after the end of the travel agreement in a probable manner.
ARTICLE 18: RECONCILIATION PROCEDURE
18.1 In the event of a dispute, the parties must first pursue an amicable settlement between themselves.
18.2 If this attempt to reach an amicable settlement fails, each of the parties involved may request the Travel Disputes Committee to start a conciliation procedure. All parties must agree.
18.3 To this end, the Secretariat will provide the parties with a conciliation regulation and a "conciliation agreement".
18.4 In accordance with the procedure described in the rules, an impartial conciliator will then contact the parties to pursue a fair reconciliation between the parties.
18.5 Any agreement reached will be recorded in a binding written agreement.
ARTICLE 19: ARBITRATION OR COURT
19.1 If no conciliation procedure is instituted or if it fails, the claimant may, if desired, initiate arbitration proceedings for the Travel Disputes Committee or bring proceedings before the court.
19.2 The traveler can never be obliged to accept the competence of the Travel Disputes Committee, either as a claimant or as a defendant.
19.3 The organizer or retailer who is the defendant can only refuse the arbitration if the amount demanded by the claimant amounts to more than 1,250 euros. He has a period of 10 calendar days for this after receipt of the registered letter or e-mail with the acknowledgement that a file with a claim from 1,251 euros was opened with the Travel Disputes Committee
19.4 This arbitration procedure is governed by dispute rules and can only be started after submitting a complaint to the company itself and as soon as it is established that the dispute could not be settled amicably or as soon as 4 months have passed after the (anticipated) end of the trip (or possibly from the performance that gave rise to the dispute). Disputes concerning physical injuries can only be settled by the courts.
19.5 The jointly appointed arbitral tribunal, in accordance with the dispute regulations, makes a binding and definitive decision on the travel dispute. No appeal is possible against this.

SUNWEB SPECIAL TERMS AND CONDITIONS
When you finalise your booking with Sunweb, you are confirming that you agree with our booking conditions. It is important to read these terms and conditions carefully before finalising your booking. Sunweb assumes that in addition to below special terms and conditions, you are also aware of the general terms and conditions of the Travel Disputes Committee and the general terms of the insurance company and other options added if these apply to your booking. In addition, Sunweb assumes that you have read all information on the website relevant to your trip.
SUNWEB SPECIAL TERMS AND CONDITIONS.
Apart from the general terms and conditions of the travel disputes committee, Sunweb applies the following:
1 FORMATION AND CONTENTS OF THE AGREEMENT
1.1 Formation
When you have provided all data and agreed to the general and special terms and conditions, Sunweb considers this to be a definitive reservation. The special terms and conditions will be applied in the event of changes and cancellations. Sunweb also considers a request for a reservation a definitive reservation. After the formation of the agreement, the traveler will receive a written or electronic confirmation, possibly in the form of an invoice.
The statutory right of withdrawal does not apply to the trips to be purchased from Sunweb, because it concerns accommodation and transport services, to be performed on a certain date or during a certain period.
1.2 Revocation
The tour operator’s offer is without obligation and if necessary, may be revoked by it. Revocation must take place as soon as possible, but no later than 24 hours after acceptance, stating reasons. Revocation due to correction of errors in the calculation of the travel sum is permitted. Revocation due to an increase of the travel sum must comply with the requirements as provided in article 5 of the general terms and conditions of the Travel Disputes Committee. If the period ends on a Sunday or public holiday, the period is extended to the next working day.
1.3 Travel time
If, in the event of trips that include transportation, the travel time and duration of the stay is stated in days in the publication, the days of departure and arrival will be considered whole days, regardless of the departure and arrival times. In some instances, the actual duration of the stay at the destination may be fewer days than stated in the publication. Sunweb has no influence on this and is not liable for any adverse arrival and departure times. Sunweb is not liable for delays due to force majeure.
1.4 Publication
The photos shown on the website have been made available by the accommodation providers, local tourist offices and professional photographers. The photos shown with the accommodations serve only to give you an idea. As individual apartments or hotel rooms are not identical, it can occur that the accommodation provided on location differs from the photos on the website. For any typographical mistakes, Sunweb cannot be held responsible.
Sunweb reserves the right to unilaterally change the package holiday, insofar as it concerns an insignificant change. If Sunweb intends to make such an insignificant change, we will notify you accordingly.
1.5 Privacy
If you book a holiday, Sunweb requires your personal details. Your details will be handled with care by Sunweb. For further information, please see our Privacy Policy.
2 TRAVEL SUM
2.1 Prices
The prices listed on the website are always quoted per person (in the event of travel by air inclusive of airport tax), including tourist tax and SGR guarantee fund fee and on the basis of minimum occupancy.
2.2 Local costs
For a studio, apartment and chalet a deposit is required. You will get your deposit back as long as your apartment is left undamaged, tidy and clean. Lockers, parking and the like must be paid on site. The stated prices of these local costs are an indication and may vary at the destination. Sunweb is not responsible for any clash of opinions between you and the accommodation provider about matters relating to local costs.
2.3 Change of travel sum
Sunweb reserves the right to change prices up to 20 days prior to the
departure date (in the case of own transport prices before the date of arrival of
the first stay booked) as a result of a change in the transportation costs
(including fuel costs), taxes, levies owed and the applicable exchange rates.
The prices are determined on the basis of prices, taxes and exchange rates as applicable on the date of determination. If changes occur in said components after this time, Sunweb reserves the right to pass on these costs. The change is calculated based on the difference between the current price compared to the price on the date of determination. You are entitled to a price reduction (less the actual administrative costs incurred) if costs decrease for the same reasons.
3 BOOKINGS AND PAYMENT
3.1 Main Booker
The person who books the trip is solely accountable (also for all other people for whom he/she books). All traffic (including payments) between the traveler(s) and the travel agent is solely between the person who booked the trip. You and your fellow travelers must be at least 18 years of age to book a Tomorrowland Winter package with Sunweb.
You are obliged to comply with all instructions given by or on behalf of Sunweb and you are liable for damage caused by your actions. If you cause or can cause such nuisance that the proper execution of the travel agreement is or can be made more difficult or if your behavior poses a danger to yourself, your fellow travelers or parties that deliver to you (part of) the trip, Sunweb can exclude you from (continuation of) (part of) the trip. The resulting costs are at your own expense.
3.2 Changes
After the invoice is prepared you can personalize your order. Every single ticket needs to be addressed to 1 individual. Until November 30, 2024, the personalization can be done free of charge in your account. From December 1, 2024, until January 15, 2025, the Main Buyer can request a name change. For each name change €350 of change-over costs will be charged. A postponement of the departure date or a reduction of the number of paying passengers will be considered a (partial) cancellation to which the cancellation terms and conditions are applicable.
3.3 Cancellation
Cancellations must be made in writing within three days after the event that caused the trip to be cancelled (in full or in part). Bear in mind that a cancellation is never free of charge. Sunweb can only process a cancellation if it has been submitted in writing by the person who booked the trip. A fellow traveler is not jointly and severally liable and can therefore not report a cancellation.
If an agreement is cancelled, the traveler will owe the following cancellation costs:
70% till November 1, 2024
80% till December 1, 2024
90% till February 1, 2025
100% from February 1, 2025
In the event of a cancellation, the price of the insurance and the policy costs are always charged in addition to the cancellation costs, unless these amount to the entire travel sum. Extra’s bought in the voucher sale should be paid immediately and the cancellation fee is always 100%.
Partial Cancellation
In case one of the participants of a booking is cancelled, the cancellation cost will be 90% of the total price for that participant till February 1st. From February 1st the costs are 100%.
3.4 Payment
The advance is 30% of the travel sum, with a maximum of € 2.500. The outstanding balance must be paid to Sunweb within 30 calendar days after booking, but never later than six weeks prior to departure. If you book within six weeks prior to departure, you must transfer the total amount upon placing your order. If you fail to pay in a timely fashion, Sunweb will inform you of that in writing. You will then have the opportunity to pay the amount owed within seven working days. If payment is still not made, the contract will be deemed to have been cancelled. Sunweb has the right to charge the cancellation costs owed for that. Extra’s bought in the voucher sale should be paid immediately and the cancellation fee is always 100%.
Payment is possible via Adyen (KBC Online / Mister Cash, Credit Card (Visa, Mastercard)) or bank transfer.
3.5 Interest and costs
Without prejudice to other rights such as termination, Sunweb is entitled, in the event of an unpaid invoice, after a prior free reminder with a waiting period of 14 days, to charge interest at the maximum legal reference rate applicable at that time from the expiry of the 14-day period. In addition, compensation will be due in the amount of the then applicable maximum lump-sum compensation as laid down by law in the Code of Economic Law Art. XIX.4, second paragraph.
4 BEFORE YOUR TRIP
4.1 Travel documents
It is forbidden to travel with an expired passport or identity card. In some countries, your passport must be valid for a certain number of months after returning home. You must check this yourself with the relevant authorities. You should always check with the embassy of the country where you want to travel if you need a visa. Having the correct travel documents is and remains your own responsibility at all times.
4.2 Health & medical
You must inquire yourself with the relevant authorities whether there are health recommendations for your destination. You can think of vaccinations and other preventive measures to prevent diseases. This also applies to any cross-border excursions. For up-to-date information on vaccinations and other health and travel data, we advice you to check your country’s foreign travel advice. Any damage or costs that arise if you do not get sufficient information or if you do not take preventive measures are for your own account.
4.3 Travel advice
You must take note of the travel advice for a specific destination with the relevant authorities.
5 AT DESTINATION
5.1 Tour guides
Our team of tour guides are internationally oriented. They all speak English (and their own native language).
5.2 Ski lessons
The ski instructors of ski lessons speak English (and their native language). Ski lessons are generally offered as part of a group. The size of the group depends on the number of participants.
6 COMPLAINTS AND DISPUTES
If you have a complaint about your holiday with Sunweb, you must first contact the Sunweb guide at your destination. Please check your travel documents for their contact information. If you are not satisfied with your accommodation in any way, in addition to contacting your Sunweb guide, please also report this immediately to the reception of your accommodation. Our guide is ready for you to resolve your complaints at destination. Due to this approach it is usually possible to immediately resolve your complaint according to your wishes. Afterwards, when you get home, it is of course no longer possible to solve the problem.
If your complaint has not been dealt with to meet your satisfaction, then it is essential that you fill in a Customer Care form with our guide. This form, accompanied by motivation in writing, should then be reported via email or postal mail. At the latest Sunweb must receive this within 2 months after your holiday has finished. Sending the Customer Care form without any further evidence will not be sufficient to handle your complaint. After receiving the form and motivation, we will send you an acknowledgment of receipt. We will provide a substantive response to your comments within 1 month.

If your complaint relates to Sunweb or to the establishment of the booking, you can submit your complaint via the contact form on the website. After receipt of a complaint, before departure, we will not send an acknowledgment of receipt. This is because within 4 weeks or sooner at earlier departures, we want to handle your complaint.

Key rights under Directive (EU) 2015/2302
1. Travelers will receive all essential information about the package before concluding the package travel contract.
2. There is always at least one trader who is liable for the proper performance of all the travel services included in the contract.
3. Travelers are given an emergency telephone number or details of a contact point where they can get in touch with the organizer or the travel agent.
4. Travelers may transfer the package to another person, on reasonable notice and possibly subject to additional costs.
5. The price of the package may only be increased if specific costs rise (for instance, fuel prices) and if expressly provided for in the contract, and in any event not later than 20 days before the start of the package. If the price increase exceeds 8 % of the price of the package, the traveler may terminate the contract. If the organizer reserves the right to a price increase, the traveler has a right to a price reduction if there is a decrease in the relevant costs.
6. Travelers may terminate the contract without paying any termination fee and get a full refund of any payments if any of the essential elements of the package, other than the price, are changed significantly. If before the start of the package the trader responsible for the package cancels the package, travelers are entitled to a refund and compensation where appropriate.
7. Travelers may terminate the contract without paying any termination fee before the start of the package in the event of exceptional circumstances, for instance if there are serious security problems at the destination which are likely to affect the package.
8. Additionally, travelers may at any time before the start of the package terminate the contract in return for an appropriate and justifiable termination fee.
9. If, after the start of the package, significant elements of the package cannot be provided as agreed, suitable alternative arrangements will have to be offered to the traveler at no extra cost. Travelers may terminate the contract without paying any termination fee, where services are not performed in accordance with the contract and this substantially affects the performance of the package and the organizer fails to remedy the problem.
10. Travelers are also entitled to a price reduction and/or compensation for damages where the travel services are not performed or are improperly performed.
11. The organizer has to provide assistance if the traveler is in difficulty.
12. If the organizer or, in some Member States, the retailer becomes insolvent, payments will be refunded. If the organizer or, where applicable, the retailer becomes insolvent after the start of the package and if transport is included in the package, repatriation of the travelers is secured. Sunweb Group GmbH has taken out insolvency protection with the Stichting Garantiefonds Reisgelden (SGR). Travelers may contact these entities (Stichting Garantiefonds Reisgelden, Admiraliteitskade 73, 3063 ED Rotterdam Nederland, telefoon nr. +31- 104146377, email: sgr@sgr.nl) if services are denied because of Sunweb Group GmbH's insolvency.
